Athlete Terms & Conditions

These Terms and Conditions govern the registration and participation of all athletes, team captains, and supporters in The Box League competitions. By completing registration and ticking the acceptance box, you agree to be bound by these terms in full.

1. Definitions

In these Terms and Conditions, the following definitions apply:

• “The Box League” means The Box League, the operator of The Box League functional fitness league, its directors, employees, contractors, and agents.
• “Athlete” means any individual who has completed registration with The Box League, whether as a team member, team captain, free agent, or substitute.
• “Team” means a registered group of 6 athletes (3 male, 3 female) affiliated with a home gym and competing in a Box League division.
• “Fixture” means a scheduled competitive event between two teams comprising 3 workouts held at the home team’s gym.
• “Season” means a full competitive season of The Box League fixtures as defined by The Box League, including the Trial Season 2026 and Season 1 2027 onwards.
• “Platform” means The Box League digital platform through which registration, score submission, appeals, and communications are managed.
• “Home Gym” means the affiliated functional fitness gym at which an athlete’s team is registered and where home fixtures are hosted.

2. Registration & Eligibility

2.1 Eligibility

To register as an athlete of The Box League you must: be aged 18 or over at the time of registration, have signed The Box League Athlete Waiver, have completed payment of all applicable season fees, and have been authorised by a registered gym owner of The Box League.

2.2 Identity Verification

Athletes agree that the host gym owner or coach may request proof of identity — such as a driving licence or passport — at the start of any fixture to confirm that the athlete is who they say they are. Athletes who are unable to provide satisfactory proof of identity when requested may be excluded from competing at that fixture at the gym owner’s discretion. The Box League accepts no liability for an athlete’s exclusion arising from their failure to provide identification.

2.3 Accuracy of Information

You warrant that all information provided during registration is accurate, complete, and not misleading. The Box League reserves the right to cancel any registration found to contain false or misleading information without refund.

2.4 Qualifying Scores

For seasons requiring qualifying (Season 1 onwards), athletes warrant that their submitted qualifying scores are a true and accurate reflection of their performance. Submission of intentionally inflated or deflated scores constitutes a breach of these terms and may result in disqualification.

2.5 Team registration

An athlete may only be registered to one team at any one time. Registration to multiple teams simultaneously is not permitted.

2.6 Team transfer

A team transfer is the permanent movement of an athlete from one registered team to another. This is entirely separate from substitutions, which are temporary replacements within the same team and are covered in Section 2.7. Athletes may transfer to a new team once per season via the platform. A transfer request cannot be unreasonably withheld by a team captain. If no response is received within 72 hours, The Box League may grant the release automatically. An athlete’s qualifying ranking is personal and transfers with them. A second transfer in the same season is not permitted. Division ranking limits apply to all transfers — an athlete may not transfer to a team in a division for which they do not meet the qualifying threshold. Division ranking limits are set out in The Box League Rules and Regulations.

2.7 Substitutions

A substitution is the temporary replacement of a registered team member by another athlete for one or more fixtures within the same season. Substitutions are permitted within the same team and do not count as team transfers. An athlete may be substituted in and out of the same team multiple times within a season without restriction, provided all substitution deadlines and approval requirements are met. An athlete acting as a substitute must not be simultaneously registered as a starting member of another team in the same division on the same fixture weekend. All substitution requests — including incoming athlete registration, gym owner approval, and captain payment where applicable — must be completed by midnight on the Wednesday immediately preceding the fixture weekend. Substitutions requested after this deadline will not be accepted for that fixture. The substitution process is as follows:

• The incoming athlete registers on The Box League platform, completing the Athlete Waiver, Terms and Conditions, Privacy Policy, and ability stats submission
• The home gym owner approves the substitution and confirms whether the incoming athlete is a member or non-member of the home gym
• The team captain submits the substitution request on the platform, naming the incoming athlete
• The Box League calculates any fee difference using the bolt-on rates registered by the home gym owner at affiliation. If the incoming athlete is a non-member replacing a member, the captain is notified of the top-up payment required for remaining fixtures
• The captain makes any top-up payment within 48 hours. The substitution is not confirmed until payment is received
• Where a member replaces a non-member, the overpaid bolt-on difference is held as a credit on the team’s account for the remainder of the season and may be applied to any future non-member substitution within that season. If unused at the end of the season, the credit is retained by The Box League in accordance with the no refunds policy
• If the home gym owner does not respond to the approval request within 24 hours, The Box League may approve the substitution at the member bolt-on rate by default. The gym owner is deemed to have waived the right to charge the non-member rate by failing to respond within the required window

3. Fees & Payment

3.1 Season Fees

All season fees are payable in full at the point of completing registration. Season fees comprise three distinct elements:

• The Box League administration fee — £50. This is The Box League’s own fee for league management, workout programming, platform operation, and administration. This fee is paid to and retained by The Box League.
• Away fixture fees — £12 per away fixture. This fee is collected by The Box League acting as agent on behalf of the host gym owner. It is not The Box League’s income. It is held by The Box League and distributed to the relevant host gym owner following each fixture. The national rate of £12 is set by The Box League as a standard to ensure consistency and fairness across all clusters.
• Home bolt-on fee — set by your home gym owner. This fee is collected by The Box League acting as agent on behalf of your home gym owner. The amount is set entirely at the gym owner’s discretion. It is not The Box League’s income. It is held by The Box League and distributed to your home gym owner in accordance with the hosting fee payment schedule.

Season fees for each team are paid as a single payment by the team captain on behalf of all team members. The team captain is solely responsible for collecting the relevant contributions from each team member prior to making payment to The Box League. The Box League has no involvement in and accepts no liability for any financial arrangements between a team captain and their team members.

The total amount payable is presented clearly before payment is confirmed. By completing payment, the team captain acknowledges and accepts the nature of each fee as described above on behalf of themselves and all registered team members.

3.2 Non-Refundable Fees

The £50 The Box League administration fee is non-refundable once the season has commenced. This fee covers league management, workout programming, platform operation, and judging administration for the full season. This non-refundable position applies regardless of the reason for non-participation, including but not limited to: injury sustained outside of The Box League, illness, work commitments, personal or family circumstances, pregnancy, change of mind, or any other reason within the athlete’s own control. Away fixture fees and home bolt-on fees are subject to the refund terms set out in Section 3.3.

3.3 Refundable Fees

Away fixture fees and home bolt-on fees collected by The Box League as agent on behalf of gym owners are refundable in the following circumstances. Where a fixture is cancelled by the host gym within 48 hours and the cancellation is not due to Exceptional Circumstances, the relevant fees are refunded to the team captain within 30 days from sums held on behalf of the host gym owner — not from The Box League’s own funds. Where a fixture is cancelled due to Exceptional Circumstances, fees are refunded to the team captain within 30 days of the rescheduled fixture being confirmed or, where rescheduling is not possible, within 30 days of that determination being made. All refunds are made to the team captain as the party who made the original payment on behalf of the team. It is the team captain’s responsibility to distribute any refunded amounts fairly among their team members. The Box League accepts no liability for disputes between a team captain and their team members regarding the distribution of refunds.

3.4 Substitution Costs

Any financial settlement between an outgoing athlete and an incoming substitute athlete in respect of remaining fixture fees is a private arrangement between those individuals. The Box League does not facilitate or arbitrate such arrangements and issues no partial refunds in connection with substitutions.

3.5 Additional Appeals

For the Trial Season, each team is allocated 2 free appeals. From Season 1 onwards, each team is allocated 6 free appeals per season. Appeals reset at the start of each new season. Appeals are allocated per workout — a team may use multiple appeals within a single fixture if they are appealing different workouts within that fixture. Additional appeals beyond the free allocation are available at £30 per appeal, payable via the platform at the time of submission.

3.6 Missed Fixtures and Reduced Squad

All season fees — including away fixture fees and home bolt-on fees — are paid upfront at the start of the season in respect of the full fixture schedule. No refund or credit is due where an individual athlete misses a fixture for any reason, including injury, illness, or personal circumstances. No refund or credit is due where a team fields fewer than a full squad at any fixture. The responsibility for fielding a full team at every fixture rests with the team captain. Where a team cannot field the minimum required number of athletes and has not arranged a valid substitution within the substitution deadline, the fixture proceeds under the reduced squad rules set out in The Box League Rules and Regulations and no refund is issued.

4. Participation & Competition Rules

4.1 Rules

All athletes agree to compete in accordance with The Box League Rules & Regulations as published on The Box League website, as updated from time to time. It is the athlete’s responsibility to read and understand the Rules & Regulations before competing.

4.2 Movement Standards

Athletes agree to perform all movements in accordance with the published movement standards for their division. Athletes acknowledge that judges’ decisions on movement standards during fixtures are final.

4.3 Filming

Athletes are required to film their workouts in full for the duration of each fixture. Failure to provide footage for a workout that is subsequently appealed may result in the appeal being upheld against the team that failed to film.

4.4 Substitutions

Athlete substitutions are permitted subject to the eligibility rules set out in Section 10 of The Box League Rules & Regulations. Substitutions are free of charge. Financial arrangements between athletes are private matters.

5. Media, Intellectual Property & Content

5.1 Media Consent

By registering, each athlete grants The Box League a non-exclusive, royalty-free, worldwide licence to use their name, image, likeness, and any footage captured at The Box League fixtures and qualifying events for promotional, marketing, and editorial purposes across all media including digital and social media platforms. This consent may be withdrawn in writing at any time during a season but does not apply retrospectively to content already published.

5.2 Athlete Content Rights

Athletes may share fixture footage for personal and non-commercial promotional use. Athletes must not: post footage to mock or humiliate any person, edit footage to misrepresent a result, or use footage commercially without The Box League’s prior written consent.

5.3 Intellectual Property

The Box League name, logo, scoring system, fixture format, rulebook, platform, and all associated documentation are the intellectual property of The Box League and are protected by UK copyright law and trade mark law. Athletes and captains may not reproduce, adapt, or distribute any The Box League materials without prior written consent. Any feedback, suggestions, or ideas submitted to The Box League by athletes may be used by The Box League without obligation or compensation.

6. Data Protection

6.1 Data Collection

The Box League collects and processes personal data including name, email address, gender, gym membership status, qualifying scores, and performance data for the purposes of administering the league, managing registrations, processing payments, and communicating with participants. This processing is carried out in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

6.2 Data Sharing

The Box League will not share personal data with third parties except where required to process payments, operate the platform, comply with a legal obligation, or where explicit consent has been given. Athlete names, team names, and performance data may be published on The Box League website and platform as part of the public standings and athlete directory, subject to the opt-out preference selected during registration.

6.3 Data Rights

Athletes have the right to access, correct, or request deletion of their personal data at any time by contacting The Box League in writing. Requests will be processed within 30 days in accordance with UK GDPR obligations.

7. Disciplinary Procedure

7.1 Grounds for Disciplinary Action

The Box League may take disciplinary action against any athlete for: breach of these Terms and Conditions, breach of The Box League Rules & Regulations, breach of The Box League Code of Conduct, submission of false qualifying scores, physical or verbal aggression toward any person at a Box League event, misuse of the appeals process, or any conduct that brings The Box League or any participant into disrepute.

7.2 Sanctions

Disciplinary sanctions available to The Box League include, in order of severity: formal written warning, suspension from one or more fixtures, removal from the league for the remainder of the season without refund of The Box League administration fee, and permanent ban from all future seasons of The Box League. The Box League reserves the right to apply any sanction it considers proportionate to the severity of the breach.

7.3 Process

Where practicable, The Box League will notify the athlete of any allegation in writing and give them an opportunity to respond before a disciplinary decision is made. The Box League’s decision is final. There is no formal right of appeal against a disciplinary sanction, although The Box League will consider representations made in writing within 7 days of a sanction being issued.

8. Non-Compete, Confidentiality & Intellectual Property Protection

8.1 Confidentiality

Athletes and captains agree to keep confidential all proprietary information relating to The Box League’s operational processes, scoring systems, workout programming, platform functionality, and business strategy that is not publicly available. This obligation continues for 5 years following the end of the athlete’s last registered season.

8.2 Non-Solicitation

Athletes and captains agree that during any season in which they are registered with The Box League, they will not actively recruit other The Box League registered athletes, captains, or gym owners to join or affiliate with a directly competing functional fitness league. This clause does not prevent an athlete from also participating in other fitness competitions or events that are not directly modelled on or replicating The Box League format.

8.3 Prohibition on Replication

Athletes and captains agree not to use any The Box League proprietary information, systems, formats, or materials to establish, operate, or assist in establishing or operating a competing league. Any person found to have used The Box League’s intellectual property, operational format, or confidential information to establish a competing product may be subject to legal action for breach of contract and/or intellectual property infringement.

8.4 Reasonableness

The restrictions in this clause are considered by the parties to be reasonable and necessary to protect The Box League’s legitimate business interests. If any restriction is found to be unenforceable, it shall be modified to the minimum extent necessary to make it enforceable, and the remaining restrictions shall continue in full force.

9. Liability

9.1 Limitation of Liability

To the fullest extent permitted by law, The Box League’s total liability to any athlete under or in connection with these Terms and Conditions shall not exceed the total fees paid by that athlete for the season in which the claim arises.

9.2 Exclusions

The Box League expressly excludes liability for all of the following:

• Any indirect, consequential, or economic loss including loss of earnings or travel costs
• Any injury, illness, or death arising from voluntary participation in The Box League fixtures or qualifying events, save only where directly and solely caused by The Box League’s own proven negligence
• Any loss, injury, or damage arising from the acts, omissions, negligence, or misconduct of a gym owner, coach, fellow athlete, or any other third party
• Any loss arising from fixture cancellation, rescheduling, postponement, or division changes, whether or not within The Box League’s control
• Any loss arising from the failure of a gym owner to meet their obligations under the Gym Owner Terms and Conditions

For the avoidance of doubt, The Box League is not liable for anything that happens at a fixture venue that is within the control or responsibility of the host gym owner. The gym owner is solely responsible for the safety and management of their venue during fixtures.

9.3 Nothing in these terms excludes liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.

10. General

10.1 Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

10.2 Amendments

The Box League reserves the right to amend these Terms and Conditions between seasons. Athletes will be notified of any material changes before the start of the following season. Continued registration constitutes acceptance of the updated terms.

10.3 Severability

If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

10.4 Entire Agreement

These Terms and Conditions, together with the Athlete Waiver, The Box League Rules & Regulations, and Code of Conduct, constitute the entire agreement between The Box League and the athlete with respect to participation in The Box League.

Athlete Waiver

This Waiver must be read carefully and signed digitally during registration. It contains important information about the risks of participating in The Box League and your agreement to release The Box League and affiliated gyms from certain liabilities. If you do not understand any part of this document, please seek independent advice before signing.

Important: By signing this waiver you are agreeing to assume certain risks and releasing The Box League and affiliated gym owners from liability in respect of those risks. Please read every section carefully before signing.

1. Assumption of Risk

1.1 Nature of Activity

I understand and acknowledge that participation in The Box League fixtures and qualifying events involves high-intensity functional fitness activities including but not limited to: Olympic weightlifting, gymnastics movements, cardiovascular endurance activities, barbell and dumbbell exercises, rope climbs, box jumps, and any other functional fitness or strength and conditioning movements as programmed by The Box League from time to time. These activities carry an inherent risk of injury including but not limited to: muscle strains and tears, joint injuries, fractures, cardiac events, rhabdomyolysis, concussion, and in extreme cases death. I also acknowledge the following additional risks associated with participation:

• Collision with other athletes, supporters, gym staff, or equipment during workouts
• Slippery surfaces in the vicinity of equipment and workout areas, including areas where chalk, water, or sweat may be present
• Exposure to infectious illness through close physical proximity with other participants in an enclosed gym environment
• The exacerbation of any pre-existing medical condition through strenuous physical exertion
• The use of alcohol or recreational drugs prior to participation, which may significantly increase or exacerbate all of the above risks. Competing under the influence is strictly prohibited under The Box League Code of Conduct.

1.2 Voluntary Participation

I confirm that my participation in The Box League is entirely voluntary. I have not been coerced or pressured into participating and I have freely chosen to take part with full awareness of the physical demands and risks involved.

1.3 Known Risks

I acknowledge that the risks associated with competitive functional fitness include risks that are inherent to the sport and cannot be eliminated even with appropriate safety measures in place. I accept these inherent risks as a condition of my participation. I acknowledge that I am solely responsible for evaluating my own physical fitness, technical skill, and experience in order to assess my suitability to participate in each workout.

1.4 Equipment & Environment

I acknowledge that I will be competing in various gym environments using various pieces of equipment that I may not have used before. I agree to inspect any equipment I use before using it and to report any defects or concerns to the host gym owner or coach immediately. I will not use equipment that I believe to be unsafe. I accept that equipment is provided for use as it is presented and that the Released Parties cannot guarantee that all equipment is free from defect.

2. Medical Fitness Declaration

2.1 Physical Condition

I declare that I am in good physical health and am not aware of any medical condition, injury, or physical limitation that would make it unsafe for me to participate in high-intensity functional fitness competition. I confirm that I have not been advised by a medical professional to avoid strenuous physical activity.

2.2 Medical Conditions

If I have any pre-existing medical condition — including but not limited to cardiovascular conditions, respiratory conditions, musculoskeletal injuries, or any condition for which I am currently receiving medical treatment — I confirm that I have sought and received medical clearance from a qualified medical professional prior to registering for The Box League.

2.3 Ongoing Obligation

I agree to notify my team captain and the host gym owner of any change in my medical condition that may affect my ability to compete safely before any fixture in which I am due to participate. If I am in any doubt about my fitness to compete, I will not compete. I further agree that if, during any workout or fixture, I experience any physical symptoms that may indicate a risk to my health or safety — including but not limited to chest pain, dizziness, severe breathlessness, or acute joint pain — I will immediately stop competing, make myself known to the host gym owner or coach, and seek appropriate medical attention. I will not continue competing while experiencing such symptoms.

I acknowledge that I am solely responsible for managing my own warm up and warm down during fixtures. The Box League and host gym owners provide the time allocation for these periods but do not lead, instruct, or supervise warm up or warm down activity. I accept full responsibility for ensuring that my warm up is adequate for my own physical condition before beginning any workout, and I will not hold The Box League or any host gym owner liable for any injury sustained during a warm up or warm down period.

2.4 Emergency Medical Treatment

In the event of a medical emergency during a Box League fixture or qualifying event, I consent to The Box League representatives, gym owners, coaches, or emergency services taking any action they reasonably consider necessary for my safety including the administration of first aid and contacting emergency services. I acknowledge that emergency assistance may be rendered by persons whose training or experience may not be fully adequate for the injuries sustained, and I waive any claim arising from good faith emergency assistance provided in these circumstances. I acknowledge that fixtures are held at gym venues which may be located at some distance from hospital or medical facilities, and that such distance may exacerbate any injury or condition I sustain. I accept full and sole responsibility for all costs associated with any medical care or transportation arising from my participation in The Box League. I release The Box League and affiliated gym owners from any liability for actions taken in good faith in a medical emergency.

3. Release of Liability

3.1 Release

In consideration of being permitted to participate in The Box League, I hereby release, waive, and discharge The Box League, its directors, employees, contractors, and agents, and all affiliated gym owners, my Home Gym (including, where applicable, the registered business entity operating that gym), and their coaches and staff (collectively “the Released Parties”) from any and all claims, demands, losses, damages, costs, and liabilities arising from or in connection with my participation in The Box League, including but not limited to claims arising from:

• Personal injury, illness, or death sustained during a fixture or qualifying event
• Rhabdomyolysis or other medical conditions arising from extreme physical exertion
• Damage to or loss of personal property at a fixture venue
• Acts or omissions of other athletes, supporters, or gym staff
• Collision with other athletes, supporters, staff, or equipment
• Slippery or hazardous surfaces at the fixture venue
• Exposure to infectious illness during participation
• Emergency medical treatment provided in good faith
• Fixture cancellations, rescheduling, or division changes
• Travel to and from fixtures
• Any other loss, damage, or injury arising from or connected to my participation in The Box League

3.2 Negligence

This release extends to claims arising from the negligence of the Released Parties except where such negligence causes death or personal injury. Nothing in this waiver excludes liability for death or personal injury caused by the proven negligence of The Box League or an affiliated gym owner.

3.3 Promise Not to Bring Suit

I hereby agree and covenant not to bring a claim against, sue, demand compensation from, or attach the property or assets of any of the Released Parties for any loss, damage, or injury arising from or connected to my participation in The Box League, and I forever release and discharge the Released Parties from liability under any such claims.

3.4 Personal Property

I am solely responsible for the security and safety of my own personal property and any equipment, clothing, or belongings I bring to any fixture venue. The Released Parties cannot guarantee the security or safety of my personal property. Should I leave any property at a fixture venue, I do so entirely at my own risk. None of the Released Parties shall have any liability for any loss, damage, destruction, theft, or unauthorised use of my personal property at any time in connection with my participation in The Box League.

3.5 Guest Liability

If I invite any guests, supporters, or other individuals to attend a fixture venue as observers or supporters, I assume full responsibility for any injury, loss, or damage suffered by those individuals during their attendance. I agree to fully indemnify and hold harmless the Released Parties against any claims, costs, or damages brought by or on behalf of any individual I have invited to a fixture venue.

3.6 Indemnity

I agree to indemnify and hold harmless the Released Parties against any and all claims, actions, demands, losses, damages, liabilities, costs, and expenses — including reasonable legal fees and the costs of enforcing this indemnity — brought by third parties arising from my actions or conduct, or the actions or conduct of any guests I bring to a fixture venue, during any The Box League fixture or event.

4. Media Consent

I consent to being filmed, photographed, and recorded during The Box League fixtures and qualifying events. I grant The Box League a non-exclusive, royalty-free, worldwide licence to use any footage, photographs, or recordings in which I appear for promotional, marketing, and editorial purposes. I understand that this consent may be withdrawn in writing at any time during a season but does not apply retrospectively to content already published.

5. Declaration & Signature

I confirm that:

• I have read this Waiver in full and understand its contents
• I am aged 18 or over
• I am signing this Waiver voluntarily and of my own free will
• I understand that by signing I am giving up certain legal rights
• I have had the opportunity to seek independent legal advice before signing
• This Waiver is binding on me and my heirs, executors, and legal representatives

Gym Owner Terms & Conditions

These Terms and Conditions govern the affiliation of gym owners and their facilities with The Box League. By completing gym registration and ticking the acceptance box, the gym owner agrees to be bound by these terms in full on behalf of themselves and their gym.

1. Definitions

The definitions in the Athlete Terms and Conditions apply to these Gym Owner Terms and Conditions where relevant. In addition:

• “Gym Owner” means the party who has registered a gym facility with The Box League and who accepts these terms on behalf of that facility. Where the Affiliated Gym is operated by a registered business entity (including a limited company, limited liability partnership, or other registered business structure) at the time of registration, “Gym Owner” means that business entity, and these terms are entered into by and bind that entity. Where no such registered business entity exists at the time of registration, “Gym Owner” means the individual(s) who own and operate the Affiliated Gym, and references elsewhere in these terms to obligations, liabilities, and indemnities of the “Gym Owner” apply to those individuals collectively, in accordance with Section 2.2.
• “Affiliated Gym” means the gym facility registered and verified by The Box League.
• “Hosting Fee” means the £12 per away athlete fee payable to the gym owner per fixture hosted, plus any home bolt-on fees, both of which are collected by The Box League as agent on behalf of the gym owner and distributed to the gym owner in accordance with Section 4.
• “Agency Fees” means the away fixture fees and home bolt-on fees collected by The Box League on behalf of gym owners. These sums are not The Box League’s income. The Box League acts solely as a collection and distribution agent in respect of these fees.
• “The Box League Administration Fee” means the £50 fee charged by The Box League directly to athletes for league management, workout programming, platform operation, and administration. This is The Box League’s own fee and is distinct from the Agency Fees.
• “Deputy Contact” means the individual nominated by the gym owner to act in their absence, with full platform access and fixture management authority.
• “Exceptional Circumstances” has the meaning given in Section 18.5 of The Box League Rules & Regulations.

2. Affiliation & Verification

2.1 Application

Gym affiliation is subject to The Box League’s approval. The Box League reserves the right to decline any application without providing reasons. Submission of a registration form does not constitute acceptance.

2.2 Authority to Register

Registration may be completed by the Gym Owner personally or by an authorised representative such as a head coach, manager, or other member of the gym’s team. Where registration is completed by a person other than the Gym Owner, that person warrants that they have full authority to bind the Gym Owner and the business to these Gym Owner Terms and Conditions, the Code of Conduct, and the Privacy Policy. The registering individual accepts personal liability for any registration completed without proper authority, and cannot subsequently claim not to be bound by these documents on the grounds that they did not personally complete the registration. The Box League accepts no liability for any registration completed without the Gym Owner’s authority.

Where the Affiliated Gym is operated by a registered business entity (verified via the Companies House registration number provided under Section 2.3), that entity is the Gym Owner for the purposes of these terms, and registration binds that entity accordingly. Where no such registered business entity exists at the time of registration, the Affiliated Gym is treated as owned and operated by the individual(s) who registered it or on whose behalf it was registered, and registration completed by any one such individual or authorised representative is deemed to bind all owners collectively. It is the responsibility of the registering party to ensure all co-owners are informed of and consent to the registration before it is submitted.

These terms bind whichever of the above constitutes the Gym Owner at the time of registration. The Box League does not look behind a registered business entity to pursue its individual owners, directors, or shareholders personally in respect of the Affiliated Gym’s obligations under these terms, save where these terms or applicable law expressly provide otherwise (including the negligence carve-out at Section 8.4).

2.3 Verification

Gym owners must provide their Companies House registration number during the application process. The Box League will verify the gym’s registered status within 5 business days of submission. The gym will not appear in the athlete registration dropdown until verification is complete. Gym owners must notify The Box League immediately of any change in their registered business status.

2.4 Deputy Contact

Gym owners must nominate a deputy contact during registration. The deputy contact must have independent platform login credentials and be capable of managing all fixture and platform obligations in the gym owner’s absence. Failure to maintain a valid deputy contact is a breach of these terms.

2.5 Accuracy of Information

Gym owners warrant that all information provided during registration is accurate and complete. Any material change to the gym’s facilities, ownership, or capacity must be notified to The Box League in writing within 14 days.

3. Hosting Obligations

3.1 Fixture Management

Gym owners are responsible for the full management of each fixture hosted at their venue. This responsibility is structured across six steps:

• Welcome — gathering all athletes together at the start of the fixture to take an attendance register and prepare for the briefing.
• Register — verifying that each athlete present is who they say they are and has completed The Box League registration, signed the Athlete Waiver, and agreed to the Terms and Conditions, Privacy Policy, and Code of Conduct. For substituted athletes, verifying eligibility against The Box League registration records, waivers, and division ranking limits. The gym owner or coach may request proof of identity — such as a driving licence or passport — where there is any doubt about an athlete’s identity. Athletes who cannot be verified must not be permitted to compete.
• Briefing — delivering a clear briefing to both teams covering: the sequencing of workouts and fixture timings as provided by The Box League; the time allocated before each workout for warm up and equipment reconfiguration; movement standards for each workout, reinforcing correct technique and the judging standard that applies; a check for any injuries or reasons why an athlete may not safely participate; and any gym-specific house rules that athletes and spectators must observe. The gym owner is not the judge and may not overrule judging decisions.
• Time management — following the briefing, managing the timing of the fixture in accordance with the fixture format provided by The Box League, including warm up, each workout, transition periods, and warm down. It is each athlete’s responsibility to be ready at the start of each workout period. The gym owner does not lead the warm up or warm down but monitors health and safety throughout and must be available to provide first aid if required.
• Score submission — recording scores for both teams on The Box League scoresheet at the end of each workout. At the conclusion of the fixture, both team captains must sign the completed scoresheet. The gym owner photographs the signed scoresheet and uploads the photographs to The Box League platform within Window 1 (1pm Saturday to 1pm Sunday). Six photographs are required — one per workout per team. Scores are locked at 1pm Monday if no appeal is raised in Window 2.
• Conclude the fixture — once the warm down period has elapsed, thanking both teams and formally closing the fixture. Ensuring both captains have signed the scoresheet before any athletes leave the venue.

3.2 Equipment

Gym owners must confirm via the platform that they have all equipment required for programmed workouts within 72 hours of workouts being published. Workouts are published at least 1 week before each fixture weekend. Any equipment unavailability must be flagged to The Box League immediately. Failure to flag equipment issues before fixture day may result in the affected workout being awarded to the away team.

3.3 Score Submission

Scores must be submitted via the platform within 24 hours of the fixture ending. A first failure to submit on time results in a formal written warning. A second or any further failures will result in a £30 fine deducted from the gym’s hosting fee payment. Persistent failure may result in a review of the gym’s hosting rights.

3.4 House Rules

Any house rules for visiting teams must be submitted during gym registration and published on the platform. House rules must be reasonable, non-discriminatory, and relevant to the venue. The Box League reserves the right to require the removal of any house rule it considers unreasonable. Gym owners may not impose house rules that conflict with The Box League’s Rules & Regulations or Code of Conduct.

3.5 Cancellations

Cancellations must be logged on the platform. Cancellation by any other means does not constitute valid notice. Cancellations within 48 hours that are not due to Exceptional Circumstances result in: the hosting fee being withheld, away athletes being reimbursed by The Box League, and the away team being awarded a bonus point win. The Box League has final say on whether circumstances qualify as exceptional.

3.6 Fixture Abandonment

Gym owners have the right to abandon a fixture where participant behaviour poses a risk to safety or breaches the Code of Conduct. The abandonment must be logged on the platform immediately with a full written account. No points are awarded pending investigation. The hosting fee is put on pause. The Box League investigates within 5 business days. If abandonment is found to be without sufficient grounds, the fixture will be replayed and the hosting fee paid in full once the replayed fixture has been completed successfully.

4. Fees & Payment

4.1 Agency Position

The Box League acts as a collection and distribution agent on behalf of gym owners in respect of all away fixture fees and home bolt-on fees. These sums are collected from athletes by The Box League on the gym owner’s behalf, held by The Box League, and distributed to the relevant gym owner in accordance with this Section 4. The Box League has no beneficial interest in these sums. The gym owner is the party providing the hosting service in respect of which these fees are charged. The Box League’s own fee — the £50 athlete administration fee — is entirely separate and is not subject to this agency arrangement.

4.2 Fee Setting

Gym owners set their member and non-member home bolt-on fees during registration. By setting these fees, the gym owner instructs The Box League to collect those amounts from athletes as agent on their behalf. These fees are locked for the season once athletes have completed registration and payment. Fee changes take effect from the following season only.

4.3 Fee Collection

All athlete fees — comprising The Box League administration fee, away fixture fees, and home bolt-on fees — are collected centrally by The Box League at the point of athlete registration as a convenience to both athletes and gym owners. Gym owners do not collect fees directly from athletes at any point. Away fixture fees and home bolt-on fees collected as agent are accounted for separately from The Box League’s own income and distributed to gym owners within 30 days of a fixture’s scores being confirmed by both captains.

4.4 Deductions

The Box League reserves the right to deduct from hosting fee distributions: the £30 late submission fine (second or multiple offence), the £30 misconduct fee where gym owner interference in judging is confirmed, any amounts withheld under the mid-season withdrawal provisions, and any other amounts due under these terms. All deductions will be communicated in writing before being applied.

4.5 Withheld Payments

Hosting fee distributions may be withheld where: scores have not been submitted, a cancellation penalty applies, a fixture abandonment investigation is ongoing, or the gym owner is in material breach of these terms. Withheld amounts remain accounted for as agent funds and will be released or applied as follows following resolution of the relevant matter: where a refund is due to athletes, the withheld amount is used to fund that refund; any remaining balance following athlete refunds is retained by The Box League as a breach penalty in respect of the gym owner’s failure to meet their obligations. This retained amount is not agency income but a contractual penalty — it is separate from and in addition to The Box League’s own administration fee income. Where away athlete refunds are required, these are processed by The Box League from amounts withheld on behalf of the relevant gym owner — not from The Box League’s own funds.

5. Conduct & Standards

5.1 Neutrality

Gym owners must maintain neutrality during fixtures. Active support for or interference in favour of their own team during a workout constitutes misconduct and may result in a £30 misconduct fee and formal warning. Repeat conduct of this nature may result in suspension of hosting rights.

5.2 Health & Safety

Gym owners are solely responsible for ensuring their venue meets all applicable health and safety requirements for the hosting of competitive fitness events. The Box League accepts no liability for injuries arising from the gym owner’s failure to maintain a safe venue. As a minimum requirement, the gym owner must ensure that at least one qualified first aider is present for the duration of every fixture and that a fully stocked first aid kit is available on the premises at all times during a fixture.

5.3 Insurance

Gym owners must hold, and maintain throughout the affiliated season, valid public liability insurance appropriate for the hosting of competitive fitness events at their venue. The minimum recommended level of cover is £5,000,000 per occurrence, though gym owners are advised to confirm the appropriate level with their insurer based on the nature of their facility and the activities hosted.

By completing gym registration, the gym owner warrants that such insurance is in place and will remain in place for the duration of the season. Gym owners must provide evidence of their public liability insurance policy upon request by The Box League.

The Box League accepts no liability for any claim, loss, injury, or damage arising from a gym owner’s failure to hold adequate insurance. A gym owner who cannot evidence valid public liability insurance at the time of a request may have their hosting rights suspended pending resolution.

5.4 Athlete Authorisation

Gym owners are responsible for ensuring that all athletes they authorise have completed The Box League Athlete Waiver and, where applicable, meet the division ranking eligibility requirements. Authorising an athlete without a completed waiver constitutes a breach of these terms and may result in the gym owner bearing personal liability for any resulting injury.

5.5 Media Licence

By completing gym registration, the gym owner grants The Box League a non-exclusive, royalty-free, worldwide licence to use footage, photographs, and recordings captured at their gym during The Box League fixtures and qualifying events for promotional, marketing, and editorial purposes across all media including digital and social media platforms. This licence includes the right to feature the gym’s name, branding, signage, and premises in any such content. The gym owner warrants that they have the right to grant this licence in respect of their premises and any staff or coaches who appear in fixture footage. This licence continues for the duration of the affiliation and survives termination in respect of content already published at the date of termination. The Box League will not use footage or imagery from a gym’s premises in any manner that is materially misleading or damaging to the gym’s reputation.

6. Non-Compete, Confidentiality & Intellectual Property

6.1 Seasonal Exclusivity

During any season in which a gym is affiliated with The Box League, the gym owner agrees not to simultaneously affiliate with, host fixtures for, or provide material support to any directly competing functional fitness league that operates a substantially similar team-based fixture format. This restriction applies only during active seasons and does not prevent the gym from hosting other fitness competitions, events, or classes of any kind.

6.2 Confidentiality

Gym owners agree to keep confidential all proprietary The Box League information that is not publicly available, including but not limited to: operational processes, workout programming, scoring systems, platform functionality, athlete and team data, financial arrangements, and business strategy. This obligation continues for 5 years following the end of the gym owner’s last affiliated season.

6.3 Non-Solicitation

During any affiliated season and for 12 months following the end of the gym owner’s last affiliated season, the gym owner agrees not to actively recruit The Box League registered athletes, captains, or other gym owners to join or affiliate with a directly competing league.

6.4 Prohibition on Replication

Gym owners agree not to use any The Box League proprietary information, operational format, scoring systems, or materials to establish, operate, or assist in establishing or operating a competing league. Any gym owner found to have used The Box League’s intellectual property or confidential information to establish a competing product may be subject to legal action for breach of contract, breach of confidence, and intellectual property infringement.

6.5 Intellectual Property

The Box League name, logo, scoring system, fixture format, rulebook, platform, and all associated materials are the intellectual property of The Box League. Gym owners may use The Box League name and logo for the purpose of promoting their affiliation in accordance with The Box League’s brand guidelines. Any other use requires prior written consent from The Box League.

6.6 Reasonableness

The restrictions in this clause are considered by the parties to be reasonable and necessary to protect The Box League’s legitimate business interests. If any restriction is found to be unenforceable by a court of competent jurisdiction, it shall be modified to the minimum extent necessary to make it enforceable.

7. Term & Termination

7.1 Duration

Affiliation runs for the duration of the registered season. Re-affiliation for subsequent seasons requires a new registration submission and is subject to The Box League’s approval.

7.2 Termination by The Box League

The Box League may terminate a gym’s affiliation immediately and without notice for: material breach of these terms, persistent failure to comply with score submission obligations, confirmed misconduct, failure to maintain a safe venue, insolvency or business closure, or any conduct that The Box League reasonably considers damaging to the league’s reputation.

7.3 Withdrawal by Gym Owner

If a gym owner withdraws from the league mid-season without Exceptional Circumstances: all outstanding hosting fees not yet distributed to the gym owner are permanently withheld by The Box League. Teams registered at the withdrawing gym are given the opportunity to find a new home gym. If a new home gym is found, team records stand. If no new home gym is found, the permanently closed gym rules apply — remaining teams are refunded affected fixture fees and scores against the withdrawn team are deleted from the standings. A gym owner who withdraws mid-season without Exceptional Circumstances is banned from The Box League affiliation for a minimum of 2 seasons. A disputed score or appeal outcome does not constitute grounds for withdrawal — the appeals process exists for this purpose.

7.4 Effect of Termination

Upon termination or withdrawal, the gym owner must: immediately cease use of The Box League name and logo, return or destroy any confidential The Box League materials, and cooperate with The Box League in transitioning registered teams to alternative home gyms where possible. Obligations of confidentiality and non-compete survive termination for the periods specified in Clause 6.

8. Liability

8.1 Gym Owner Liability

The Gym Owner (as defined in Section 1, reflecting whether the Affiliated Gym is operated by a registered business entity or by its individual owner(s)) is solely responsible for the safety and condition of their venue and for any injury, loss, or damage arising from their management of fixtures. The Box League accepts no liability for the acts or omissions of the Gym Owner. Where the Gym Owner is a registered business entity, this liability is that of the entity; The Box League does not pursue the entity’s individual owners, directors, or shareholders personally in respect of matters arising under this Section 8, save for the negligence carve-out at Section 8.4.

8.2 The Box League Liability

The Box League’s total liability to a gym owner under or in connection with these terms shall not exceed the total hosting fees paid to that gym owner in the season in which the claim arises. The Box League shall not be liable for any indirect or consequential loss including loss of revenue or reputation.

8.3 Indemnity

Gym owners agree to indemnify and hold harmless The Box League against any claims, costs, or damages arising from: the gym owner’s management of fixtures, the condition of the gym facility, the gym owner’s breach of these terms, or any act or omission of the gym owner’s staff, coaches, or deputies.

8.4 Negligence Carve-Out

Nothing in these terms excludes liability for death or personal injury caused by negligence — whether that of The Box League or of the gym owner. Gym owners remain personally liable for any death or personal injury caused by their own negligence or that of their staff, coaches, or deputies in connection with the hosting of fixtures. This clause applies notwithstanding any other provision of these terms.

9. General

9.1 Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

9.2 Entire Agreement

These Terms and Conditions, together with The Box League Rules & Regulations and Code of Conduct, constitute the entire agreement between The Box League and the gym owner in respect of the gym’s affiliation with The Box League.

9.3 Amendments

The Box League reserves the right to amend these terms between seasons with reasonable notice. Material changes will be communicated before the start of the following season. Continued affiliation constitutes acceptance of updated terms.

9.4 Severability

If any provision is found invalid or unenforceable, the remaining provisions continue in full force.

Code of Conduct

This Code of Conduct applies to all The Box League participants — athletes, captains, supporters, gym owners, coaches, and The Box League staff. It sets the standard of behaviour expected at all The Box League events and in all communications connected to the league.

1. General Standards

All The Box League participants are expected to:

• Treat all other participants — opponents, officials, gym owners, coaches, and supporters — with dignity and respect at all times
• Compete honestly and in the spirit of fair competition
• Accept the decisions of judges, officials, and The Box League with grace, using the formal appeals process where there is a genuine dispute
• Take responsibility for their own conduct and the conduct of those they bring to fixtures as supporters
• Represent their team, their gym, and The Box League positively in all interactions
• Prioritise the safety of all participants above competitive outcomes

2. Conduct at Fixtures

The following behaviour is strictly prohibited at any The Box League fixture or event:

• Physical aggression, fighting, or threatening behaviour toward any person
• Verbal abuse, intimidation, or harassment of any athlete, official, gym owner, coach, or supporter
• Deliberate interference with equipment or the venue
• Any attempt to distract, intimidate, or impede an athlete during a workout
• Wilful violation of movement standards or deliberate cheating
• Misrepresentation of scores or results
• Discriminatory behaviour or language of any kind including on the basis of gender, race, age, disability, religion, or sexual orientation
• Competing or officiating while under the influence of alcohol or recreational drugs. Any participant suspected of being under the influence may be excluded from the fixture by the host gym owner at their discretion. The Box League will investigate and appropriate sanctions will be applied.

Gym owners have the right to remove any person from their premises whose behaviour breaches this code. In serious cases, the fixture may be abandoned and The Box League will investigate.

3. Online & Social Media Conduct

The Box League participants agree to the following standards in all online and social media activity connected to The Box League:

• Do not post content that mocks, humiliates, or misrepresents any athlete, team, gym, or official
• Do not edit or manipulate footage to misrepresent a score or result
• Do not use The Box League footage commercially without written consent from The Box League
• Do not make false or misleading public statements about The Box League, its scoring, its results, or its participants
• Do not engage in online harassment of any The Box League participant

The Box League monitors social media activity connected to the league and investigates all complaints within 5 business days.

4. Disciplinary Process & Sanctions

4.1 Reporting

Any participant may report a suspected breach of this Code of Conduct to The Box League via the platform or support email. Reports should include a description of the incident, the date and location, and any supporting evidence including video footage.

4.2 Investigation

The Box League will acknowledge all reports within 24 hours and investigate within 5 business days. Where practicable, the subject of the complaint will be given an opportunity to respond before a decision is made.

4.3 Sanctions

Sanctions for breaches of this Code include:

• Formal written warning — recorded on the participant’s The Box League record
• Suspension — from one or more fixtures or events
• Removal from the current season — without refund of The Box League administration fee
• Permanent ban — from all future The Box League seasons
• Financial penalty — where applicable as set out in the Terms and Conditions

4.4 Serious Incidents

Where a breach involves physical violence, criminal behaviour, or conduct that may constitute a criminal offence, The Box League reserves the right to report the matter to the relevant authorities. The Box League will cooperate fully with any police or regulatory investigation.

4.5 The Box League’s Decision

The Box League’s disciplinary decisions are final. Participants may submit written representations within 7 days of a sanction being issued, which The Box League will consider but is not bound to act upon.

4. Legal Basis for Processing

We process your personal data on the following legal bases under the UK General Data Protection Regulation (UK GDPR):

• Contract — processing necessary to fulfil our obligations under the Gym Owner Terms and Conditions and Athlete Terms and Conditions, including registration, payment, fixture management, and platform access.
• Legal obligation — processing necessary to comply with applicable law, including identity verification and data retention obligations.
• Legitimate interests — processing necessary for our legitimate business interests, including league administration, fraud prevention, disciplinary processes, and platform improvement, where these interests are not overridden by your rights.
• Consent — where we rely on your consent, such as for the use of your name, image, or footage for promotional purposes. You may withdraw consent at any time after the conclusion of a season by writing to us at hello@theboxleague.co.uk.

5. How Long We Keep Your Data

We retain personal data for as long as is necessary for the purposes for which it was collected, and for as long as is permitted under applicable law. Our retention approach is as follows:

Why we retain data for extended periods. Retaining historical data — particularly fixture scores, standings, and participation records — allows The Box League to make informed decisions about division placement, league structure, and athlete eligibility across seasons. Longer retention also protects both participants and The Box League in the event of a legal dispute arising from a past season. We will always retain data for the minimum period necessary to fulfil these purposes.

6. Who We Share Your Data With

We do not sell your personal data to any third party. We may share your data in the following limited circumstances:

• Payment processors — to process registration fees, hosting fee distributions, and appeal fees. Our payment provider processes data in accordance with their own privacy policy and applicable law.
• Platform providers — our digital platform is built and hosted by third party providers. These providers process data on our behalf and are bound by data processing agreements.
• Other participants — athlete names, team names, division placements, and fixture results are published on The Box League platform and website as part of the public standings. Athletes may opt out of public listing during registration.
• Gym owners — athlete registration details, waiver status, and division information are shared with the athlete’s home gym owner for the purposes of fixture management and athlete authorisation.
• Legal and regulatory authorities — where required by law, court order, or regulatory obligation, we may disclose personal data to relevant authorities.

We will never share your personal data with any third party for their own marketing purposes.

7. Your Rights

Under UK GDPR, you have the following rights in respect of your personal data:

• Right of access — you may request a copy of the personal data we hold about you at any time.
• Right to rectification — you may request that we correct any inaccurate or incomplete personal data we hold about you.
• Right to erasure — you may request that we delete your personal data where there is no legitimate reason for us to continue processing it. Note that certain data — such as financial records and fixture results — may be retained even following an erasure request where we have a legal obligation or legitimate interest to do so.
